Purpose
Falkirk Council recognises that, under sections 53 and 54 of the Local Government etc. (Scotland) Act 1994, it has a statutory obligation to ensure that proper arrangements are made for the preservation and management of all records, in all formats, created by the Council, in addition to those records inherited from its predecessor authorities.
The Records Management Working Group (RMWG) plays a significant role in ensuring the Council meets these statutory obligations.
The RMWG is required to adhere to the Council's Records Management & Preservation of Archival Records Policy and ensure the Policy is reflected throughout their Service.
Representation
The Records Management Working Group (RMWG) will be chaired by the Records Manager and consist of the Archivist, the Corporate Records Administrator and one representative from each Service within Falkirk Council who can progress any issue agreed at the RMWG within their Service.
Responsibility
The RMWG:

is responsible for ensuring each Service receives appropriate advice to adhere to the Records Management & Preservation of Archives Records Policy

is responsible for moving forward an appropriate Council-wide classification scheme to ensure we are managing our records accordingly, retaining / disposing our records within the Retention & Disposal Schedule for Falkirk Council with a view to moving our records to an EDRMS

is responsible for ensuring appropriate updates to the Retention & Disposal Schedule for Falkirk Council are provided to the Corporate Records Team within Law & Administration Services. The Records Manager will oversee approval of the Schedule by the Scottish Information Commissioner.
Timescale
The RMWG will meet quarterly and have a pre-agreed agenda. A note of the meeting will be circulated for any required amendments before formal circulation.
